THE CLIENT

Two brothers, born and raised in Northeast Ohio, enjoyed meeting once a year for an elk hunt in the Idaho wilderness. Each evening many fine wines from all over the world were shared while telling stories of past and present hunts. This is when and where the idea for Laurentia Winery was developed. Both brothers knew Northwest Ohio had many wineries and vineyards, and that the potential for higher quality wines from the Grand River Valley was attainable. A career in the oil and gas industry as a geologist taught older brother Gary to question and study the surroundings, in order to better understand why this area held such potential. As a wildcatter looking for the next discovery, the Grand River Valley was chosen over more well-known areas, such as California, to help bring recognition to this region.

It began over 25,000 years ago when Northeast Ohio was covered with a thick sheet of ice that extended from the North Pole and across the Great Plains. The glacier traveled slowly south from Canada into Ohio. When the planet eventually thawed, the glacier retreated north depositing a geologic bounty of rocks and soil in a formation called a terminal moraine. An added benefit was the forming of Lake Erie and The Grand River, both having positive impacts on the region’s climate. THE POSITION

The person selected for this position will be responsible for all aspects of the wine club for the client company.  The ideal candidate will be ready to undertake responsibility for all of the wine club accountabilities with minimal supervision and with minimal administrative support. Having a WineWare and VInSuite background is a huge plus.

LOCATION

The position is located in Madison Ohio.

REPORTING RELATIONSHIPS

The Wine Club Manager reports to the Winery Owner.

PROFESSIONAL RESPONSIBILITIES

  1. Wine Club Processing and Management- WineWare and VInSuite
  • Complete annual club budget. Forecast wines, club growth, shipping costs and revenue, summit upgrades, expenses, decline rates.
  • Set-up batches, process wine clubs and resolve declines.
  • Plan all aspects of wine club events and partner with Tasting Room team to execute.
  • Ensure wine club shipment wine is distributed to all fulfillment locations prior to club run.
  • Create with graphic designer all marketing and club materials and oversee printing and distribution to club members.
  • Print wine club applications and ensure Tasting Room has an adequate supply of forms.
  • Handle all ongoing customer maintenance including adding/updating member information, modifying account status, notating customer interactions, emailing members, correcting credit information, etc. Keep database (VInSuite) clean and up to date.
  • Monitor key performance indicators and implement remedies to ensure goals are met.
  • Respond to all charge back notices from credit card companies.
  • Maintain special handling list and process all special handling orders.
  • Segment orders, and process orders for all club members.
  • Send order forms via email and postal mail for either the Provencial or Continential Club shipments. Manually enter all custom Provencial or Continential Club shipment orders and pack all the Provencial or Continential Club pick up orders.
  • Approve all Wine Club related expenses.
  1. Shipping & Fulfillment
  • Negotiate contracts with fulfillment houses and common carriers.
  • Manage and improve Wine Club shipping process including auditing/correcting ship orders, updating rates in e-commerce and POS, training staff, monitoring/resolving backorders and handling returns. Ensure all in-house shipping is completed in a timely manner.
  • Ensure Wine Club wines are available in advance of new release for packing.  Monitor inventory levels and refresh as necessary.
  • Review available “cold ship” options and establish summer shipping programs.
  • Setup new SKUs.
  • Approve all Shipping related expenses.
  • Although we do not use a third party fulfillment or ship compliant, knowledge of this would be beneficial if we move in that direction.
  1. Compliance
  • Work with compliance vendor to ensure that our shipping permits are current.
  • Review cost/benefits of procuring permits for new states as they become available and make a recommendation to pursue or not pursue.
  • Implement and keep our 3-tier system current including new label registrations.
  • Resolve orders that do not meet current compliance regulations.
  • Maintain the accuracy and completeness of ShipCompliant including SKUs, permits, tax rates and COLAs.
  • Approve all Compliance related expenses
  1. Web Site Maintenance
  • Work with Website Coordinator to keep the following updated:
    • New products and deactivate older vintages.
    • Wine club pages up to date with changes in shipments, club structure and benefits.
    • New tasting room staff to the salesperson database.
    • Events pages up to date.
  • Approve all Web Site and E-commerce related expenses
